Privacy Policy

This policy explains how Qovi Travel handles information when you visit our website, request a demo or use our travel-agency management platform.

Effective date: 10 September 2026 · Last updated: 10 September 2026

1. Information we collect

We may collect your name, agency name, email address, mobile number, city, team size, plan interest and messages submitted through our website. Subscribers may provide account, staff, customer, traveller, supplier, booking, itinerary, payment, invoice, expense, communication and website content data while using the platform.

We may also collect technical information such as IP address, browser type, device information, access time, referring page, diagnostic logs and security events. If analytics, advertising or cookie tools are enabled, they may collect identifiers and usage information subject to their settings and your available choices.

2. How we use information

We use information to respond to enquiries, demonstrate and provide the service, create and administer accounts, process subscriptions, provide support, secure the platform, prevent misuse, improve performance, communicate service updates, maintain records and comply with legal obligations.

3. Agency data and responsibilities

Travel agencies control the customer and operational data they enter into Qovi Travel. Each agency is responsible for having a lawful basis and appropriate notices or consent for collecting and using its customers’ information. We process that data to provide the subscribed service and do not sell it.

4. Sharing of information

We may share information with infrastructure, hosting, database, email, payment, analytics, customer-support and security providers only as reasonably necessary to operate the service. We may also disclose information when required by law, to protect rights and safety, during a lawful business transfer, or with your direction or consent.

5. Data retention

We retain information while an account is active and for a reasonable period afterward for support, backup, security, accounting and legal purposes. Demo requests and inactive records may be deleted when no longer required. Backup copies may remain temporarily until normal backup cycles expire.

6. Security

We use reasonable administrative and technical safeguards, including access controls and encrypted connections. No online service can guarantee absolute security. Account holders must protect passwords, limit staff access and notify us promptly of suspected unauthorised access.

7. Cookies and advertising

Essential cookies may be used for secure sessions and platform functionality. We may later use analytics or advertising technologies to measure website performance and campaigns. Where required, we will provide appropriate notice or consent choices. Third-party services operate under their own privacy terms.

8. Your choices and rights

You may request access, correction or deletion of personal information that we control, subject to identity verification and legal exceptions. Agency customers should normally contact their travel agency first because the agency controls their booking data. You may unsubscribe from promotional email using the provided option or by contacting us.

9. Children

The SaaS service is intended for businesses and authorised adult users. Traveller information concerning children must be entered only by an agency with appropriate authority from a parent or guardian.

10. Changes

We may revise this policy as the service, providers or legal requirements change. The updated version and effective date will be posted on this page.
